Mission
We're looking for a motivated, highly organized, and client-focused Administrative Assistant to join our expanding team. In this role, you will serve as a foundational support layer, ensuring our day-to-day personal injury operations, client intakes, and medical records workflows execute flawlessly.

Key Responsibilities
- Provide comprehensive, day-to-day administrative support to maintain efficient law firm operations, assist attorneys, and manage scheduling and correspondence.
- Manage, organize, label, and systematically maintain digital legal case files, evidence, and client documentation within the firm's case-management and file-storage systems with extreme precision.
- Conduct initial client intakes, answer incoming phone inquiries, and onboard new cases with empathy, gathering key details and routing qualified inquiries to appropriate team members.
- Request, track, and persistently follow up on medical records, medical bills, treatment records, police reports, and insurance documents until all necessary case documentation is secured.
- Maintain regular, empathetic communication with current clients regarding matter status, proactively address routine concerns, and promptly escalate client dissatisfaction to legal staff.
- Accurately document all client communications, case notes, and completed work to eliminate workflow friction and ensure tasks are executed without needing repeated reminders.
Qualifications
- Years of Experience: 1–2+ years of hands-on administrative, medical-records, personal injury, or client-facing support experience preferred (open to strong entry-level candidates).
- CRM Tool: Legal practice management CRM experience (e.g., Filevine, Clio, or similar case-management database platforms) is a plus.
- Softwares: Standard office productivity software (MS Office, Google Workspace), secure cloud storage, and team communication suites.
- Industry Knowledge Required: Prior experience within a law firm, personal injury practice, or fast-paced professional service environment is a strong asset, though not strictly required.
- Specific Gender: No preference.

Technical Requirements
- Reliable personal PC or laptop.
- Stable, high-speed internet connection (wired connection recommended).
- Noise-cancelling headset and a quiet, professional remote workspace.
- Quick familiarity or ease with remote productivity software, cloud storage, and messaging systems.
Position Description
- Working Hours: Full-time, 8 hours per day from 7:00 PM till 3:00 AM Beirut Time (GMT+3).
- Working Days: Monday – Friday
- Days Off: Saturday and Sunday
- Work Location: Fully-remote, you can work from anywhere
- PTO (Paid Time Off): You can request time off with advanced notice
- Salary Range: $1,500
