Conversion Operations Strategist
Remote | Full-time | Eastern Time
Company Overview
We are a performance-driven patient acquisition agency helping medical aesthetics clinics attract and convert prospective patients into booked appointments for high-value treatments. We combine paid advertising, funnel optimization, CRM systems, and appointment-setting operations to improve conversion rates and client outcomes. Mission To identify and resolve conversion bottlenecks across the patient acquisition journey by connecting marketing performance, customer conversations, and sales execution to increase qualified bookings and deposits.
Position Description
We are seeking a mid-to-senior Conversion Operations Strategist with experience in conversion optimization, revenue operations, sales operations, or performance marketing agencies. This is a strategic, hands-on role, not a traditional call center management or sales training position.
You will independently investigate why leads are not converting, analyze call recordings and CRM activity, identify recurring objections and bottlenecks, and translate findings into actionable recommendations for the media buying, account management, and systems teams.
You will also oversee and coach appointment setters, coordinate improvement initiatives, and evaluate whether implemented changes improve results.
The ideal candidate is analytical, commercially minded, proactive, and capable of owning the conversion improvement process with minimal supervision.
Responsibilities
Conversion Analysis and Strategy
- Analyze the complete lead journey, from lead generation and initial engagement to booking and deposit collection.
- Review actual call recordings, CRM histories, follow-up activity, and available performance data to identify conversion bottlenecks.
- Determine whether problems stem from lead quality, marketing messaging, funnel friction, follow-up processes, or setter execution. Identify recurring objections, missed opportunities, and mismatches between campaign promises and customer expectations.
- Deliver evidence-based diagnoses explaining what is happening, why, and what actions should be taken.
Marketing and Funnel Optimization
- Translate call insights and customer feedback into actionable recommendations for ads, offers, landing pages, lead qualification, and follow-up processes.
- Collaborate with media buyers, account managers, and systems specialists to investigate and resolve conversion issues.
- Challenge unsupported assumptions about lead quality and provide concrete examples to support recommendations.
- Coordinate corrective actions, prioritize improvements, and measure their impact on bookings and deposits.
Appointment-Setting Team Leadership
- Oversee and coach appointment setters to improve lead handling, discovery, objection handling, follow-up, booking, and deposit collection.
- Review calls to identify performance gaps, missed opportunities, and coaching needs.
- Establish clear improvement actions and hold setters accountable for execution.
- Distinguish individual performance issues from broader marketing, funnel, or operational problems.
Optimization and Ownership
- Establish performance baselines and track relevant conversion indicators, including lead-to-contact, contact-to-booking, and booking-to-deposit rates where data is available.
- Follow through on recommendations and assess whether implemented changes improve results.
- Identify recurring issues across accounts and recommend scalable solutions.
- Proactively identify problems, make independent decisions, and keep relevant stakeholders informed without requiring constant direction
Essential Requirements
- Proven experience in conversion optimization, revenue operations, sales operations, performance marketing operations, or a closely related role.
- Demonstrated ability to independently diagnose why leads fail to convert using call recordings, CRM activity, and performance data.
- Strong understanding of the relationship between advertising, lead quality, sales conversations, follow-up, and conversion outcomes.
- Experience developing actionable recommendations and coordinating their implementation.
- Experience working with or overseeing appointment-setting or sales teams.
- Strong analytical thinking, commercial judgment, problem-solving, and decision-making skills.
- Excellent communication and stakeholder management skills, with the ability to challenge assumptions constructively.
- High ownership, initiative, accountability, and ability to work with minimal supervision.
- Excellent spoken and written English and familiarity with US consumer expectations.
- Willingness to work the required full-time Eastern Time schedule.
Technical Requirements
- Experience using CRM systems to analyze lead histories, pipeline stages, communications, and conversion outcomes.
- GoHighLevel (GHL) experience is highly desirable.
- Familiarity with call recording, transcription, telephony, SMS follow-up, and booking systems.
- Ability to interpret conversion metrics and use spreadsheets or dashboards to identify trends.
- Comfort using AI tools to support call analysis and improve efficiency without replacing direct listening or independent judgment.
- Ability to collaborate with media buyers and technical teams on funnel, CRM, and automation improvements.
Preferred Experience
- Agency-side experience in performance marketing, lead generation, conversion optimization, or revenue operations.
- Experience working directly with media buyers, account managers, and sales teams to improve client outcomes.
Medical aesthetics, med spas, elective treatments, or other high-ticket, appointment-based businesses.
US-facing consumer sales and lead-generation environments.
Managing inbound appointment-setting teams and longer customer decision cycles.
Marketing agencies or performance marketing businesses serving multiple clients.
Experience translating sales conversations and customer feedback into actionable recommendations for media buyers or funnel teams.
Key Skills and Competencies
Commercial mindset: Focuses on qualified bookings, deposits, and conversion outcomes rather than activity metrics alone.
Analytical thinking: Investigates root causes rather than accepting surface-level explanations.
Sales leadership: Coaches setters effectively and holds them accountable for performance.
Assertiveness: Challenges assumptions, communicates difficult feedback, and stands behind evidence-based recommendations.
Ownership and initiative: Takes responsibility, makes timely decisions, and drives solutions through to completion.
Adaptability: Moves quickly, handles changing priorities, and works effectively without excessive structure.
Cross-functional communication: Connects sales, marketing, and systems teams through clear, actionable feedback.
AI-enabled productivity: Uses AI to support analysis and efficiency while maintaining independent judgment and direct engagement with customer conversations.
What Success Looks Like
The successful candidate can investigate an underperforming account and clearly determine:
Where leads are dropping off in the journey from lead generation to deposit.
What actual calls and CRM activity reveal about lead intent, objections, expectations, and missed opportunities.
Whether the main problem is related to lead quality, marketing and funnel performance, follow-up, setter execution, or a combination of factors.
What evidence supports the diagnosis.
What specific action should be taken, who needs to take it, and how the results will be evaluated.
Success means improving setter performance, providing marketing with reliable insights from real customer conversations, resolving conversion bottlenecks, and determining whether implemented changes improve bookings and deposits.
Technical Requirements
Own PC or laptop suitable for remote work.
Reliable, high-speed internet connection; a wired connection is recommended.
Noise-cancelling headset and a quiet, professional workspace.
Ability to access and work within CRM, telephony, and call recording platforms, preferably GoHighLevel.
Capacity to review actual call recordings and transcripts regularly and document actionable findings.
