​Mission

​We're hiring an Executive / Personal Assistant to be the right hand to the founders — someone who keeps calendars tidy, trips planned, dashboards updated, and day-to-day details handled so the leadership team can focus on strategy. In this role, which acts as a true "Life Manager" for the leadership team, you'll manage GoHighLevel CRM updates, Google Sheets/Drive trackers, coordinate calendars, Zoom links, Slack updates, and build and follow SOPs as we scale. You'll also own travel booking and itinerary creation, daily planning for the CEO and co-founders, rescheduling to maximize efficiency, and ad-hoc "figure it out" tasks that save the founders time. Because this role supports dynamic founders who travel internationally, you will be the ultimate cornerstone of the business, providing critical personal and business operations support and remaining accessible for occasional urgent matters outside standard hours. Key Responsibilities

​Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.

  • ​Manage, input data, and administer the GoHighLevel CRM daily.
  • ​Update and organize dashboards, trackers, and documents in Google Sheets and Google Drive.
  • ​Coordinate and maintain calendars and manage email correspondence for leadership.
  • ​Create and manage Zoom links and meeting logistics.
  • ​Post updates and manage communications in Slack as needed.
  • ​Build, follow, and help write better Standard Operating Procedures (SOPs) as we grow.
  • ​Book all travel (flights, accommodation, and events) using booking platforms like Airbnb, Booking.com, and Skyscanner, and build detailed itineraries for founders to help them save time personally.
  • ​Plan out the CEO's and co-founders' days to prioritize the highest-impact and highest-priority tasks.
  • ​Perform research, administrative tasks, and "figure it out" assignments to free up founder time.
  • ​Reschedule meetings and rearrange events to maximize efficiency and minimize context switching.
  • ​Track expenses and basic numbers related to travel or scheduling when required.
  • ​Maintain a proactive, anticipatory approach to removing friction from the founders' days.
  • ​Remain available on-call for urgent matters outside of standard working hours (estimated 1-2 urgent calls per month).

​Qualifications

  • Years of Experience: Minimum experience in an EA/PA, Executive Support, or Administrative role with a proven track record of handling high-context tasks across personal and business operations.
  • CRM Tool: Must have proficiency in GoHighLevel CRM (for daily use). General experience with other CRMs (Salesforce, HubSpot, Zoho, etc.) is highly preferred.
  • Softwares: Google Workspace (Sheets, Drive, Calendar), Zoom, Slack, and travel booking platforms (Airbnb, Booking.com, Skyscanner, etc.)
  • Industry Knowledge Required: Executive support / operations, personal assistance, CRM administration, and travel coordination experience preferred.
  • Specific Gender: No preference (open to all qualified candidates).
  • Appearance/Dress Code: Must be comfortable with visible facial communication in professional remote meetings.

  • ​A natural focus, deep execution style, and comfortable working independently behind the scenes (thrives in a focused, quiet administrative environment).
  • ​Good written communication for Slack, emails, and calendar invites.
  • ​Comfortable creating and improving SOPs.
  • ​Flexibility and adaptability to changing priorities, time zones, and schedules.
  • ​Clear understanding and full acceptance of after-hours responsibilities for rare, urgent operational needs.

​Technical Requirements

  • ​Own PC or laptop.
  • ​Reliable internet connection (wired connection recommended).
  • ​Noise-cancelling headset and a quiet, professional workspace.
  • ​Access to Google Workspace (Google Sheets, Drive, Calendar).
  • ​High flexibility with working hours, including the readiness to support leadership during their annual 3-month US travel periods where urgent outside-of-hours support may occasionally be required.

Position Description

  • Working Hours: 8 hours, from 11 AM till 7 PM Beirut Time
  • Working Days: 5 days a week.
  • Days Off: Saturday and Sunday.
  • Work Location: Fully-remote, you can work from anywhere.
  • PTO (Paid Time Off): 14 days total annually (consisting of 8 UK bank holidays + 6 additional paid days off). Please note: Lebanese national holidays are not applicable as the company standardizes operations around the UK bank holiday schedule.
  • Salary Range: $1,000 - $1,500 (Potential Increase for truly exceptional candidates based on performance)
