​Mission

​We're looking for a dependable, organized, and client-focused Intake Specialist to support our growing consumer bankruptcy and debt relief practice by managing client journeys across four operational stations: Intake, Client Onboarding, Case Preparation, and Workshop Maintenance. Day-to-day you'll handle outgoing calls to leads, gather and maintain intake documentation, coordinate scheduling, run remote client meetings, and manage client communications through our CRM. The position begins with a full-time competency-based Orientation & Training Period (approximately 3-4 weeks), followed by a 90-day probationary period to ensure your successful, progressive transition toward independently managing a full production workload. Key Responsibilities

​Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.

  • ​Conduct client intake, make outgoing calls to leads, and schedule attorney consultations with excellent customer service, clear interpersonal skills, professionalism, and empathy.
  • ​Complete designated Intake Forms (IFO 1 and IFO 2) and maintain accurate CRM records.
  • ​Conduct Client Expectation and Onboarding Meetings via Zoom and assist clients with intake procedures.
  • ​Gather intake documents, coordinate document collection, and maintain organized, accurate electronic client files and records.
  • ​Manage client communications, workflow coordination, and CRM administration through HubSpot Service and Sales Hub.
  • ​Prepare files and cases thoroughly to ensure a seamless attorney handoff.
  • ​Actively participate in workflow improvement initiatives, workflow coaching, and shadowing.
  • ​Assist with the development of Trainual articles, Standard Operating Procedures (SOPs), deliverable specifications, checklists, templates, Loom training videos, and other operational resources.
  • ​Maintain complete and accurate documentation while consistently following established workflows and quality standards.
  • ​Collaborate via regular Zoom meetings and team communications, asking thoughtful questions to master the purpose and operation of the firm's systems.
  • ​Escalate legal questions or representation-related matters to attorneys; do not provide legal advice.

​Qualifications

  • Years of Experience: 1-3 years of experience in customer service, intake, administrative support, or case management. Prior experience in legal, financial, medical, client service, or bankruptcy/legal intake environments is preferred but not required.
  • CRM Tool: Working proficiency with CRM software required; HubSpot experience is strongly preferred.
  • Softwares: Working proficiency with Microsoft 365 (including Outlook, Word, and Excel), spreadsheets, and digital communication tools (Zoom, Loom, Trainual). Tech-savvy approach to learning new software quickly is essential.
  • Industry Knowledge Required: No legal background or legal experience is required, as the role does not involve providing legal advice. A bankruptcy or legal intake background is a plus. Training on consumer bankruptcy and debt-relief lead qualification concepts will be provided during a structured, competency-based orientation phase.

​Technical Requirements

  • ​Own PC or laptop capable of simultaneously operating HubSpot, Microsoft 365, Zoom, multiple browser windows, and cloud-based applications.
  • ​Reliable high-speed internet connection suitable for continuous video conferencing and remote work (wired connection recommended).
  • ​A viable backup plan for temporary internet or power interruptions whenever reasonably possible.
  • ​Quality headset with a noise-canceling microphone and a quiet, distraction-free workspace appropriate for confidential client communications.
  • ​Video conferencing capability (webcam and microphone suitable for professional client meetings).
  • ​Minimum of 2 monitors required (3 monitors preferred) to efficiently manage workflows.

Position Description

  • Working Hours: 8 hours per day + 1 Hour break. 3:00 PM / 4:00 PM to 1:00 AM Beirut Time (Standard business hours are 9:00 AM to 6:00 PM Eastern Time, with a flexible start time between 8:00 AM and 9:00 AM Eastern Time).
  • Working Days: 5 days a week (Monday through Friday)
  • Days Off: Saturday and Sunday
  • Work Location: Fully-remote, you can work from anywhere
  • Permanent / Contract: Full Time
  • Paid Time Off (PTO): Paid local holidays are provided. Additional flexibility regarding time off and potential raise structures can be discussed following the successful completion of the 90-day probation period.
  • Salary Range: $1,500 - $2,000
