Marketing Manager
Company Overview
It is a physician-led integrative and cellular medicine practice based in Charlotte, NC that focuses on precision, evidence-based care. Programs include hormone optimization, metabolic health, neurofeedback, cellular restoration, and gut health. The practice exists to prove that physician-led precision medicine can become the standard of care rather than the exception. Our marketing reflects the same standard we hold in the clinic: precise, credible, and built to convert without ever cutting corners on compliance. The culture values high clinical credibility and alignment between clinical rigor and modern growth tactics.
Mission
You will own the execution layer that connects strategy to measurable results. This is a hands-on operator role where you will serve as the central point of accountability between external marketing vendors, the front-end sales operation, and leadership's reporting needs. Day-to-day you'll manage external marketing partners (including an ads agency, video editors, social media teams, YouTube teams, and contractors on Upwork), keep funnels and pipeline data accurate in GoHighLevel, and oversee the sales team so leads convert into booked patients. You will not be writing every ad or making every call; instead, you will ensure the right people are doing that work well, on time, and to the rigorous standard expected by leadership. While primarily a management position, you are someone who doesn't mind jumping into some hands-on tasks when needed to unblock team issues (e.g., generating B-roll or creating assets). If you enjoy owning projects end-to-end, coaching people, and using clean data to drive decisions — you'll feel right at home.
Key Responsibilities
Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.
- Manage all third-party marketing vendors, agencies, and contractors (including paid advertising teams, video editors, landing page creators, social media teams, and YouTube teams) and act as primary point of contact.
- Hold vendors to agreed scope and timelines; follow up directly when partners fall behind or drift off target to keep every project moving forward in a timely fashion.
- Facilitate and supply creative and operational assets vendors need to execute campaigns.
- Review and approve vendor deliverables before anything goes live to ensure clinical accuracy, compliance, and conversion quality (including reviewing and approving social media posts).
- Oversee the sales team including the appointment center (SDRs/setters) and front-end closers; monitor day-to-day performance to ensure they are meeting their KPIs.
- Regularly review and evaluate sales call quality, provide specific, consistent, and direct feedback to improve booking and close rates.
- Maintain high-level ownership of marketing funnels and CRM pipelines (specifically GoHighLevel) to ensure flow from lead to booked patient is functional.
- Ensure the accuracy and integrity of data attached to every opportunity across all funnels so reporting reflects reality and leadership can act on numbers that can be trusted without second-guessing.
- Maintain the accuracy of KPI dashboards; report progress on vendor-driven marketing, sales, and pipeline performance directly to the Director of Operations and the Business Owner.
- Read pipeline and funnel reports, spot anomalies (cost per lead, booking rate, show rate, close rate) and recommend corrective actions.
- Partner and work alongside the Director of Operations to troubleshoot bottlenecks, handle hands-on unblocking tasks (like asset or B-roll generation when necessary), and implement process improvements across marketing and sales operations.
- Resolve friction between marketing and operations rather than tolerating it, and escalate only when necessary.
- Ensure vendor deliverables ship on time and meet the clinical and conversion standards expected by leadership.
