Company Overview

It is a marketing agency specializing in medspas and aesthetics practices. The agency runs Meta advertising campaigns and operates alongside a US-based call center to help clients generate and convert leads.

The team manages approximately 130 active accounts, requiring strong internal systems, processes, automations, reporting, and technical workflows to ensure accounts run smoothly and efficiently.

This is an internal operations and technical role. You will not be responsible for owning client relationships, but you may occasionally join client or team calls to help diagnose and resolve technical issues.

The ideal candidate is highly organized, technically capable, detail-oriented, and comfortable working across multiple systems and workflows. They should be able to troubleshoot independently, identify root causes, and maintain reliable systems without constant supervision.

Mission

We're looking for an Operations & Technical Assistant to maintain, troubleshoot, and continuously improve the systems, processes, automations, and workflows that keep approximately 130 accounts running smoothly.

This is not a basic administrative role. We're looking for someone who is comfortable working directly inside Meta Business Manager, ClickUp, Google Sheets, GoHighLevel, Make.com, Zapier, APIs, and webhooks, while also using AI tools to improve efficiency and solve problems.

The ideal candidate is highly detail-oriented, technically curious, calm under pressure, and able to work through repetitive tasks without losing accuracy. They should be comfortable troubleshooting issues during live screen shares and taking ownership of problems from initial diagnosis through resolution.

Strong hands-on experience with Make.com and/or Zapier is mandatory, and practical use of AI tools such as Claude is non-negotiable.

Key Responsibilities

  • Triage and assign request desk tickets to the appropriate owner within 4 business hours.
  • Brief creative tasks and source supporting assets such as B-roll, before-and-after images, brand files, and other creative materials.
  • Review and approve new account launches, ensuring pixels, Facebook pages, Instagram connections, budgets, targeting, lead forms, and UTMs are correctly configured.
  • Configure monthly reporting trackers and verify that dashboards are populating correctly.
  • Maintain and update retention and churn reporting sheets.
  • Provide first-line technical support to the CSM team, including calendar syncing and Meta Business Manager troubleshooting.
  • Monitor Make.com and Zapier automations for failures and troubleshoot routine automation issues.
  • Review automation execution history and identify failed modules or broken steps.
  • Run daily dashboard health checks and investigate issues through to their root cause.
  • Troubleshoot technical issues across multiple platforms and systems.
  • Maintain and improve internal workflows and operational processes.
  • Document processes clearly as written SOPs.
  • Identify recurring technical or operational issues and recommend improvements.
  • Use AI tools to improve efficiency, research solutions, create documentation, and assist with troubleshooting while independently verifying AI-generated output.
  • Support the team during live screen shares and technical troubleshooting sessions.
  • Maintain high accuracy across repetitive operational and technical tasks.
  • Continuously improve the systems and processes supporting account operations.

Qualifications

  • Proven experience working with Meta Business Manager, including asset sharing, user roles, account structure, ad statuses, and rejection reasons.
  • Strong hands-on experience with ClickUp, including building workflows and systems, not simply using ClickUp as a task-management tool.
  • Strong knowledge of Google Sheets, including tables, formulas, troubleshooting, and maintaining operational reporting systems.
  • Hands-on experience with GoHighLevel, including sub-accounts, workflows, permissions, calendar setup, and calendar mapping.
  • Mandatory: Hands-on experience with Make.com and/or Zapier, including reading automation scenarios, reviewing execution history, identifying failures, and fixing failed modules.
  • Comfortable working with APIs and webhooks and understanding how systems communicate with one another.
  • Mandatory: Comfortable using AI tools such as Claude for research, troubleshooting, documentation, and workflow support, with the judgment to verify AI-generated information before implementing it.
  • Strong analytical and problem-solving skills.
  • Extremely detail-oriented and able to maintain accuracy during repetitive work.
  • Comfortable troubleshooting technical issues independently.
  • Comfortable working on a live screen share and explaining technical issues clearly.
  • Strong organizational and time-management skills.

Assessment Process

The hiring process includes two interviews.

There is no take-home or pre-screening assessment. One interview will include a live, real-time skills assessment where candidates will demonstrate their technical knowledge, troubleshooting ability, analytical thinking, and familiarity with the systems and workflows required for the role.

Candidates should be prepared to demonstrate their practical understanding of Meta Business Manager, ClickUp, Google Sheets, GoHighLevel, Make.com/Zapier, APIs/webhooks, and AI tools.
