​Mission

​We're hiring an Operations Coordinator to be the ultimate operational engine beneath the Director of Operations. In this support and enablement seat, you will quietly keep everything moving—making sure the hire that needs sourcing, the process nobody wrote down, and the number that has to be right are executed flawlessly so leadership can focus on the big stuff. You will own the recurring, behind-the-scenes administrative work that makes high-level outcomes reachable, ensuring that nothing handed off ever gets dropped, delayed, or done wrong. Key Responsibilities

​Your daily tasks will vary across three primary pillars—Recruitment, Finance, and Documentation—giving you room to lead, innovate, and maintain operational stability.

​Recruitment & Onboarding

  • ​Source, screen, and shortlist candidates to deliver a qualified list of at least 4 vetted candidates within 14 days of a role opening.
  • ​Maintain a live, active pipeline by replenishing roughly 4 new qualified candidates every 7 days until an open seat is filled.
  • ​Conduct proactive outbound headhunting (LinkedIn, Sales Navigator, Apollo, email sequences) alongside inbound ATS screening.
  • ​Evaluate candidates strictly against defined role scorecards, competencies, and preferred culture profile thresholds.
  • ​Manage aggressive time-to-hire targets (under 4 weeks for entry, 4–6 weeks for mid-level, 8–12 weeks for senior roles) by screening resumes within 2 days and scheduling interviews within 3 days.
  • ​Administer skill assessments, conduct first-pass reviews, coordinate interview logistics, and draft job descriptions.
  • ​Ensure the applicant tracking system (ATS) is kept 100% accurate within 24 hours of any candidate movement.
  • ​Fully provision every new hire before Day 1 (accounts, documents, scorecard, ramp plans, and a structured 30-day evaluation).
  • ​Schedule, prepare, and manage the logistics for 30/60/90-day check-ins and performance review cadences.

​Finance Operations & Reporting

  • ​Log and categorize financial entries with a minimum target of 98% accuracy inside QuickBooks and internal finance trackers.
  • ​Complete recurring finance-ops tasks on time against their set weekly/monthly cadences and reconcile data against source files.
  • ​Compile recurring financial reporting inputs on schedule for the Director of Operations and Finance team to rely on.
  • ​Audit trackers, tie out data to source documents, and proactively flag budget or plan variances early.
  • Note: This role assists with finance operations and data hygiene; it does not own the ledger, the month-end close, or building financial forecasts and models.

​Documentation & Adoption

  • ​Maintain a current Standard Operating Procedure (SOP) for every workflow you run or that is delegated to the seat (reviewed every 90 days).
  • ​Drive every newly rolled-out process or tool to at least 90% team adoption within 30 days through proactive training and tracking.
  • ​Collaborate with the AI Operations & Systems team to define tracking metrics and build automated, live adoption dashboards so documentation currency updates automatically..

Qualifications

  • Years of Experience: 2+ years of experience in operations coordination, recruiting coordination, or finance/bookkeeping support.
  • Core Systems Expertise: Hands-on experience navigating an applicant tracking system (ATS), managing outbound sourcing sequences, and utilizing basic accounting software (e.g., QuickBooks).
  • Softwares: Google Workspace (Sheets, Docs, Drive), Asana, Slack, QuickBooks, and common candidate sourcing platforms.
  • Industry Knowledge Required: Digital agencies, performance marketing spaces, remote recruitment pipelines, data auditing, and cross-functional team enablement.
  • Specific Gender: No preference.

  • ​Extreme reliability and follow-through; you naturally close loops and never drop balls.
  • ​Highly organized, proactive, and capable of flagging operational risks before they become issues.
  • ​Meticulously detail-oriented when handling both numbers and written processes.
  • ​Self-directed and calm under pressure; comfortable taking ambiguous requests, asking smart clarifying questions, and running with them.
  • ​Excellent written and spoken English communication skills across a fully remote corporate team.
  • ​An "ownership thinking" mindset—always looking for solutions rather than just reporting problems.

​Technical Requirements

  • ​Own reliable PC or laptop.
  • ​High-speed, fast, and stable internet connection (wired connection recommended).
  • ​Noise-cancelling headset and a quiet, professional remote workspace.
  • ​Absolute readiness to maintain consistent daily overlap with US Eastern business hours.

Position Description

  • Working Hours: 8 hours per day, from 4:00 PM till 12:00 AM (Midnight) Beirut Time (Aligning with US Eastern business hours).
  • Working Days: 5 days a week (Monday to Friday).
  • Days Off: Saturday and Sunday.
  • Work Location: Fully-remote, you can work from anywhere.
