Mission
We're hiring an Operations Manager with strong technical and systems-building ability to help organize, improve, and scale the infrastructure behind client fulfillment.
The primary focus of this role is CRM management, systems building, automation, troubleshooting, and SOP development. You'll work closely with the founder to turn manual and fragmented processes into organized, repeatable systems that allow the company to operate more efficiently as it grows.
You'll work extensively with tools such as GoHighLevel, n8n, Zapier, ClickUp, Slack, AI tools, and other cloud-based platforms. You'll be expected to troubleshoot problems, identify bottlenecks, build workflows, document processes, and continuously find ways to remove unnecessary manual work.
Client communication remains an important part of the role and will increase as you become familiar with the business and its systems. However, technical and systems aptitude is the highest priority for this position. We value problem-solving, adaptability, and the ability to learn quickly over seniority alone.
Key Responsibilities
Your daily tasks will vary, giving you room to learn, grow, and strengthen your technical and operational skills while supporting the team with excellence. You will be trusted to take ownership, solve problems, and improve systems without constant hand-holding.
- Build, maintain, organize, and troubleshoot GoHighLevel sub-accounts.
- Configure and improve pipelines, nurture workflows, calendars, snapshots, reporting dashboards, and other CRM infrastructure.
- Diagnose CRM issues and identify practical solutions.
- Build and debug low-code automations using GoHighLevel, n8n, Zapier, and AI/LLM tools.
- Identify repetitive manual tasks and turn them into reliable automated workflows.
- Connect systems and ensure information moves correctly between platforms.
- Test workflows, troubleshoot failures, and continuously improve system reliability.
- Create standardized systems that can be replicated across multiple clients.
- Build, document, and enforce SOPs across operations, client fulfillment, communication, reporting, and delivery.
- Identify bottlenecks and implement process improvements with minimal founder involvement.
- Use AI tools such as Claude and other LLM-based tools to accelerate QA, troubleshooting, reporting, insights, and process development.
- Audit the existing software stack and recommend improvements, integrations, consolidations, or upgrades where appropriate.
- Own client provisioning, including standardized Slack channels, ClickUp spaces, Google Drive folders, and CRM sub-accounts.
- Keep ClickUp accurate and up to date, including statuses, due dates, SLAs, capacity, and workload.
- Support client onboarding and ensure the operational infrastructure is ready for new accounts.
- Coordinate with editors and other fulfillment team members to keep client delivery on track.
- Monitor deadlines, deliverables, and outstanding client requirements.
- Support client communication and progressively take ownership of client check-ins and operational updates.
- Communicate clearly and professionally with U.S. business owners when required.
- Monitor client pipeline metrics such as contact rate, booking rate, and close rate.
- Identify operational or performance issues and flag them proactively.
- Coordinate content calendars, filming schedules, and assets when required.
- Coordinate creative workflows through tools such as Frame.io and Google Drive.
- Maintain quality standards for short-form content, including hooks, pacing, and platform-native style.
- Capture and share learnings on short-form content performance and help identify opportunities for improvement.
- Coordinate ad-launch readiness and understand basic tracking, UTM parameters, and lead-routing requirements.
- Understand Meta Ads well enough to answer basic client questions about targeting, campaigns, and campaign activity.
- Prepare internal operations and capacity reports when needed.
- Forecast bandwidth and recommend additional freelance or team support when operational capacity requires it.
- Help train, coordinate, and hold team members accountable to deadlines and operational standards.
- Handle operational issues and escalations calmly and efficiently.
- Continuously improve systems and processes as the company grows.
Qualifications
- Years of Experience: 3–5 years in operations, CRM operations, automation, agency operations, systems management, or a related field.
- CRM Tool: GoHighLevel
- Software/Tools: GoHighLevel, ClickUp, Slack, Google Drive, Frame.io, Meta Ads Manager, Fathom, Claude, n8n, Zapier, and LLM/AI tools.
- Strong technical and systems aptitude.
- Demonstrated ability to troubleshoot systems and solve problems independently.
- Experience building workflows, automations, or repeatable operational processes.
- Strong SOP documentation and process-building ability.
- Social-media fluency and familiarity with short-form video content.
- Basic understanding of Meta Ads and sales pipeline KPIs.
- Ability to learn new software and internal systems quickly.
- Strong written and spoken English.
- Experience with every listed tool is not required; technical aptitude, adaptability, and problem-solving ability are more important than checking every software box.
- Industry experience in home services, lead generation, or agency operations is a plus but can be learned by the right candidate.

Technical Requirements
- Minimum internet speed: 250 Mbps.
- Stable and reliable internet connection is required due to large video files, cloud-based systems, and continuous online work.
- Mac is strongly preferred because of the company's cloud-based AI and agentic tooling workflow.
- Windows may be considered for an exceptional candidate.
- Own a reliable computer capable of running multiple cloud-based applications simultaneously.
- Noise-cancelling headset and a quiet, professional workspace.
- Webcam suitable for video meetings.
- Ability to use GoHighLevel, ClickUp, Slack, Google Drive, and other cloud-based tools concurrently.
